Agency OS is currently available at a Founder Price of €9/month — locked in forever for the first 250 members. After that, the Base plan starts at €14.90/month. Pro is €29.90/month (coming soon). Studio pricing is available on request.
Yes. Agency OS is billed monthly with no minimum contract. You can cancel at any time — no questions asked.
There is no free trial — Agency OS only makes sense when you actually use it with real jobs and clients. The Founder Price at €9/month is low enough to get started immediately.
Unlimited. There are no caps on clients, jobs, quotes, or invoices.
Invoice PDF export is available on all plans. CSV export for invoices is available from Base. DATEV export (for German tax advisors) is available from Base. More export formats are coming.
Yes. Agency OS works for freelancers across Europe. E-invoicing (ZUGFeRD) is live for Germany. France (Factur-X) is coming in 2026. Austria, Switzerland, Belgium, Netherlands, Denmark, Italy, Spain, and Portugal are on the roadmap.
Yes. Agency OS has a native iOS app with full dashboard, job management, quotes, invoices, crew, and calendar — everything synced in real time.
Yes. Agency OS runs on EU servers, is GDPR-compliant, and uses 256-bit SSL encryption. Your data never leaves the EU.

E-Invoicing & Compliance
An e-invoice is not just a PDF — it contains machine-readable XML data that can be processed automatically by accounting systems. In Germany, the ZUGFeRD format embeds this XML invisibly inside a standard PDF.
From 2027, yes — if your client is a business (B2B). For private clients, the obligation does not apply. We recommend starting now: publishers, agencies, and production companies are already asking for ZUGFeRD invoices.
ZUGFeRD 2.x is live — the standard for B2B e-invoicing in Germany and France. XRechnung (required for public authorities) is coming in 2026.
ZUGFeRD is a hybrid format — a normal PDF with embedded XML. XRechnung is pure XML, required for invoices to German public authorities. For 95% of freelancers, ZUGFeRD is fully sufficient.
Factur-X — the French e-invoicing format — is technically identical to ZUGFeRD 2.x. France is introducing mandatory e-invoicing from 2026. Agency OS already generates Factur-X compatible invoices. Official certification is in progress.
No. Agency OS generates ZUGFeRD-compliant PDFs automatically. Your workflow stays exactly the same — the XML is embedded invisibly.
DATEV is the standard format used by German tax advisors. Agency OS exports your invoice data directly in DATEV format from Base plan — no manual copy-paste, no spreadsheets.
Yes. Agency OS archives all invoices in a GoBD-compliant manner from day one. Every document is tracked, versioned, and audit-ready.
Germany is live. France is coming in 2026. Austria, Switzerland, Belgium, Netherlands, Denmark, Italy, Spain, and Portugal are on the roadmap as their respective mandates roll out through 2027–2028.
No. ZUGFeRD invoices are standard PDFs — any email client or PDF reader can open them. The embedded XML is only relevant for automated processing on the recipient's side.

Dashboard
Your Dashboard gives you a real-time overview of your business: next production, profit this month, outstanding invoices, options requiring follow-up, jobs ready to invoice, and upcoming shoots — all on one screen.
It shows your next confirmed job — client, location, fee, and date. So you always know what's coming up without digging through the pipeline.
Your confirmed fee income for the current month, minus agency commission. Updated in real time as jobs move through the pipeline.
Jobs that are still on option (not yet confirmed) and require a follow-up. Agency OS surfaces them automatically so no option goes cold without action.
Jobs that are completed but not yet invoiced. One tap to create the invoice directly from the Dashboard.
All invoices that have been sent but not yet paid — with total amount outstanding. You always know what money is still coming in.
An overview of all active productions — jobs in option, confirmed, or in production — so you can see your workload at a glance.
Not yet. Dashboard layout is fixed in V1 and optimized for the most important metrics. Customization is planned for a future update.
Yes. The full Dashboard is available in the iOS app — same data, optimized for mobile.

Pipeline
The Pipeline is your job management board. Every job moves through stages: Option → Confirmed → In Production → Wrap → Invoiced → Paid → Archived.
Client, project name, shoot date, location, producer, fee, profit, status, crew, budget items, documents, and notes.
Yes. Hit 'New Job' and fill in the details. The job appears instantly in your Pipeline at the correct stage.
An option is a tentative booking — the client has expressed interest but not yet confirmed. Agency OS tracks all options and reminds you to follow up.
Yes. You can filter by job status, client, date range, and more.
Yes. Quotes, invoices, contracts, and any other documents can be attached directly to the job card.
Yes. Add crew members to any job — name, role, day rate, and days. Crew costs are tracked against the production budget.

The Pipeline is built specifically for production workflows — with fee tracking, profit calculation, crew management, and direct invoice creation. It's not a generic task manager.
Quotes & Invoicing
Open any job, go to the Quotes tab, and hit 'New Quote'. Add your production fees, budget items, and agency commission. Export as PDF in one tap.
Quotes are standard PDFs. ZUGFeRD compliance applies to invoices only, as the standard covers payment documents.
One tap. Agency OS converts the confirmed quote to an invoice, carries over all line items, and generates a ZUGFeRD-compliant PDF.
Your logo, business details, and bank information are applied automatically. Additional template customization is coming.
A short identifier added to your invoice numbers — e.g. 'AB-2026-001'. Set it once in Settings and it applies to all invoices.
Yes. Send via email directly from the app — no need to download and attach manually.
Yes. Reverse Charge for EU B2B transactions is supported — the correct VAT note is added automatically.
Yes. Storno invoices can be created directly from any existing invoice.

Crew, Budget & Calendar
Add crew members to any job — name, role, day rate, number of days. Agency OS calculates total crew cost automatically. Crew costs are informational and tracked against your production budget.
Yes. Crew members are saved to your account and can be added to any job with one tap.
A detailed breakdown of all production costs for a job — crew, equipment, locations, travel, catering, and any other line items. Budget items can be marked as on-invoice or off-invoice.
Profit = Total Fee − Agency Commission + on-invoice production budget items. Crew costs are tracked separately and are informational only.
The Calendar shows all your jobs by shoot date — confirmed productions, options, and follow-ups. Connected to Apple Calendar so shoots automatically appear in your personal calendar.
Every job broadcasts to the iOS app via the Calendar. Job name, client, location, team, and linked documents are all included in the calendar entry.
Not yet. Team calendar and availability features are planned for the Pro tier.
The Receipt Scanner lets you photograph receipts on set. Agency OS reads the receipt, extracts the amount and vendor, renames it correctly, and makes it digitally readable — ready to attach to the job. A cropping tool is coming soon.
The Archive stores every job from first option to final payment — including all documents, budget items, crew, and client history. It tracks everything: when the option came in, when it was confirmed, what was purchased, how long payment took, and whether the client pays on time. This data will power the Archive Analysis feature in a future update.
A planned feature that uses your historical job and client data to help you make better decisions — spotting slow-paying clients early, identifying your most profitable job types, and flagging patterns before they become problems. Coming in a future Base update.
